Job Description: Business Office Manager
Position Overview:
We are seeking a dynamic and self-motivated Office Manager to join our busy contractor's office in Kihei, HI.
You must live on Island currently and willing to work in the office.
The ideal candidate is well-versed in administrative tasks, proficient in various software applications including the MS Office Suite and Online QuickBooks, knowledgeable in HR policies and practice.
This person will need to embrace new technologies and applications that our teams utilize in the field.
This candidate must excel in providing top-notch customer service to our customers and work well with the management team.
This is a fast-paced environment, requiring the ability to manage multiple tasks and deadlines with a high level of efficiency.
Responsibilities:
1.
Administrative Support:
· Manage and maintain office operations, including handling incoming calls, emails, and correspondence.
· Coordinate meetings, appointments, and communications to clients.
· Organize and maintain physical and digital filing systems for easy access and retrieval.
· Prepare and edit documents, reports, and presentations using MS Office Suite.
· Manage Vehicle Fleet Management, Insurance, Registration etc.
2.
Financial Management:
· Utilize Online QuickBooks to assist with financial tasks such as invoicing, accounts receivable, expense tracking, and basic bookkeeping.
· Collaborate with the accounting team to ensure accurate and timely financial data entry.
3.
Human Resources:
· Maintain a strong understanding of HR policies, procedures, and compliance.
· Assist in onboarding new employees by coordinating paperwork, orientation, and training.
· Handle employee inquiries related to HR policies and benefits, escalating when necessary.
4.
Customer Service:
· Provide exceptional customer service to clients, vendors, and visitors both in person, over the phone and via email.
· Address customer inquiries, resolve issues, and ensure a positive interaction experience.
5.
Office Efficiency:
· Monitor office supplies and place orders as needed to maintain a smooth workflow.
· Streamline office processes and identify opportunities for improvement in efficiency.
6.
Self-Starter:
· Demonstrate initiative and the ability to work independently, taking ownership of tasks and projects.
· Proactively identify areas where support is needed and take appropriate actions to address them.
Qualifications:
· High school diploma or equivalent; additional qualifications in office administration or related fields are a plus.
· Proven experience (3 years) in office administration, preferably in a fast-paced environment.
· Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) for document creation and management.
· Strong familiarity with Online QuickBooks or similar accounting software.
· Knowledge of HR policies, procedures, and best practices.
· Excellent verbal and written communication skills.
· Exceptional organizational and multitasking abilities.
· Ability to work effectively under pressure and meet deadlines.
· Outstanding customer service skills with a friendly and professional demeanor.
· Demonstrated self-starter with a proactive approach to problem-solving.
