Job Description Primary Responsibilities-$25/Hour Maintain the safety of the entire complex daily.
Ensure the peace, tranquility and well- being of all residents, and protect all residents from annoyance and nuisance caused by improper use of the apartment and common elements, to protect the reputation and desirability of Kahului Ikena and to maintain a friendly and safe environment.
This can be accomplished by the strict and firm enforcement of the House Rules of Kahului Ikena.
Coordinate the various activities of daily operations to include building and grounds maintenance, service programs and improvement projects.
Make record of any unsafe conditions and resolve them on the spot if possible.
Enforce House Rules and policies by communicating to offenders in a courteous but firm manner.
Educate offenders at first warning with courteous and helpful communication.
Provide offenders with warning letters and/or fines for any violations, issuing written violation notices and reporting those violations that go unresolved to the Board of Directors, and Management Agent for further action.
Maintain a log of repeat offenders.
Coordinate maintenance programs (ie landscape, pest control etc.
) to include routine repair requests, and facility upgrading or corrective maintenance.
Coordinate any service or improvement projects and monitor project to ensure quality and production standards for all work is upheld.
Monitor contracted projects and ensure that residents have been notified of the schedule and/or any changes.
Receive, investigate and resolve or if required, forward to the Management Agent and Board President, complaints and concerns by residents.
Maintain an updated list and contact information of all residents and pets in case of emergencies.
Inspect the entire property monthly and note any deficiencies that are visible and make the necessary repairs, or if unable to, report the deficiencies to the Board and Management Agent for further action.
This includes the maintenance and security functions (all exterior lighting) and to follow up on any security problems (including fire alarms) with the necessary reports and notifications.
Evaluate the performance of the Landscape Maintenance Co.
and keep in close contact with them.
Join the Oversight Committee in a walk-through with the Landscape Maintenance Co, (quarterly).
Submit a Site Manager’s monthly report on the 5th of each month to the Board of Directors and Management Agent, of all emergencies, work completed, matters (resolved or unresolved) which could be considered of importance in revisions to House Rules, improvement projects, maintenance considerations or resident complaints and concerns.
Site Manager is also required to handle emergencies after hours, as necessary, as part of duties and submit incident reports to the Board and/or Managing Agent.
Schedule of Duities for Site Manager Weekly Duties Walk property and sweep walkways/planters/stairways/under stairways between and around buildings to ensure that they are free of trash and debris.
Report any bulky items underneath stairwells to Board for necessary action.
Walk property and sweep parking lot to ensure that it is free of trash and debris.
Report any large oil stains in stalls and vehicles that seem abandoned in marked and guest stalls.
Walk property and ensure that trash bin areas are clean and that area I free of unwanted bulky items.
Hose down trash bin areas if necessary.
While walking property make a list and report in-house violations or safety concerns so that the Board can take proper action.
Any warning or violations should be documented and submitted to Managing Agent for follow-up and Board Review.
See Exhibit A and B for violation process.
While walking property report any damage or loose stairwells and banisters that need repair.
Secure loose wooden spindles as this is a safety concern.
Repairs should be documented and submitted to Managing Agent for follow-up and Board review.
Bimonthly Duties Wipe down and/or dust stairwell/wooden railings of each building.
Wipe down and/or dust all fire extinguisher boxes.
Wipe down all mail boxes and bulleting boards.
Remove wasp, bees and all other inset nests if observed.
Report any termite activity or nests.
While walking in between and around buildings, report any water leaks (if any) observed from sprinkler heads or other areas to the Managing Agent.
Also report any broken sprinkler heads.
Monthly Duties Check all main water valves to units and manipulate (rotate handle) to ensure the valve handle does not freeze up.
Adjust light timers.
They should go on 15 minutes before dust and go off 15 minutes after sunrise.
Walk property at night; note and replace any burnt out lights as needed.
Make a detailed maintenance report so that issues such as repair work on property to include building, grounds, electrical, irrigation, drainage, excessive oil in stalls, sinage, roof repair, curbing etc.
can be addressed.
Keep a detailed log of hours worked and work performed and turn in to Managing Agent for Boad review by the 5th of each month.
Quarterly Duties Wipe down all light fixtures and exit signs.
Sweep out all storage areas in buildings.
Check and cleanout all 1s floor rain gutters and storm drains for debris.
Clean quarterly and after storm.
Semi-Annual Duties Pressure wash side walks around and between buildings.
Annual Duties Paint red curbs if necessary or touch up.
Paint entrance sign of Kahului Ikena complex and polish the brass letters.
Notes Minor repair work will be discussed and should be done on a case by case basis.
If purchases are made, keep and submit receipts for reimbursement.
List day of work, time started and ended, job description, materials used, receipts.
Any expenses over $250.
