ROLE The Human Resources Recruiter/ HR Specialist acts as a liaison to the Corporate HR and leadership by providing hands on support in Recruitment and HR Functions for the Hawaii Operations.

In this role, you provide support to the Hawaii Operations team in the HR Recruitment & HR Functions by: Being a subject matter expert of Company’s processes.
Ensuring compliance with state, local, and federal laws related to all HR functions such as recruitment, leave management, work card compliance, pre-screening of candidates, onboarding of new hires and rehires, termination, employee engagement, employee performance management and all other HR and organizational initiatives .
Being a brand ambassador to internal and external clients.

This includes but is not limited to: Identify recruiting initiatives, focusing on three key metrics: quality of hire, time to fill and cost per hire.

Work closely with the HR team to ensure a seamless onboarding process for new hires, providing a positive experience from day one.
Avoiding legal challenges by understanding current legislation and enforcing regulations with managers.
Update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.
Builds a quality relationship with the internal customers and external recruitment agencies Monitors pre-employment process for candidate, through pre-employment clearance to ensure compliance prior to On-Boarding.
Launch OnBoarding event for New Hire/Rehire, administer offer letters, review work cards and I-9 compliance, complete e-Verify and conduct New Hire Processing and OnBoarding to successfully welcome employee into the organization.
Coordinate new hire orientation and communication of new hires with partnering departments.
Accurate data entry into the various HR Info Systems.
Manage job requisitions, job descriptions and other recruiting tasks utilizing ATS (applicant tracking system).
Effectively utilize applicant tracking systems and other recruitment tools to streamline the hiring process and maintain accurate candidate records.
HR Ambassador/Employee Relations Support leadership in handling HOA accounts with HR services with the scope of agreement.
Office Primary point of contact, facilitating employee engagement by creating first experience interactions with employees visiting the HR office.
This includes managing all employee questions and providing clear feedback to create a positive employee experience.
Manage HR inboxes, HR Main Line and Employee Text Line, ensuring thorough and timely responses to internal and external clients.
Partner with leaders in handling sensitive employee matters.
Promote company mission, vision and values; contributing to the organization’s business goals and objectives.
Assists with intake of employee investigations and obtaining investigation reports and supporting evidence.
Promotes proper procedures for handling of employee-related matters.
Respond to subpoenas with the support of Corporate HR.
Responding to and managing unemployment claims in a timely fashion.
Assists with placing supply orders for office and HR events (in alignment with budget).
Compliance/HRIS: Support HR Corporate in managing Workers Comp Claims: filing of claim and obtaining all details of claim.
Managing, tracking and ensuring compliance with work cards and licensing based on business unity and entity (such as I-9 and work card compliance).
Subject Matter Expert of company’s HRIS systems: Talent Management, HR system, and Benefits.
Maintains HRIS system records and create reports from the database.
Accurate data-entry into HRIS systems; Audit data of all HR systems to ensure accuracy.
Review employee changes in HRIS system, to include: Processing and maintaining accurate HR related records (electronic and hard file) to ensure compliance.
Processing and record retention includes, but is not limited to: Status/Position/Pay Rate/Term changes and tracking of Leave of Absence/Disciplines/Licenses/Workers Comp and all other records relating to HR department and the life-cycle of employee.
Maintains/Scans accurate HR related records (electronic and hard file) to ensure compliance.
Record retention includes, but is not limited to scanning documents related to: Applicant/Pre-Employment, Employee file, I-9’s, LOA’s, Benefits, Workers Comp, Performance Management, Disciplinary, Unemployment, OSHA, Training, 401k, Licenses/Work Cards and all other records relating to Employee Personnel File.
Support leadership by being the liaison on HOA employee accounts and HRIS systems; partnering with vendors and payroll where needed.
Track L&D Academy Course trainings into HRIS.
Order & maintain OSHA posters for all locations.
Requirements: • Bilingual (Tagalog / Ilocano) preferred • On-site position (non-remote) • Minimum of three years of experience in Recruitment.
• Minimum of one year of overall Human Resources experience.
• High level of professionalism, integrity, and confidentiality, particularly when dealing with sensitive candidate and company information.
• Excellent communication skills oral and written; able to communicate effectively with all levels within the organization.
• Strong presentation skills; advanced writing, reading and communication skills.
• Proficient Intermediate or higher skill level with Microsoft Office and HRIS.
• Excellent critical thinking skills: ability to define problems, collect data, establish facts and draw valid conclusions.
• Demonstrated experience in leave absence management to include knowledge of processes and requirements based on local, state, and federal law.
