Job Title: Administrative Assistant
Location: Kahului, Maui
Schedule: Core hours are Monday through Friday 7:45am – 4:30pm.
Travel may be required.
Compensation: Based on experience with benefits package
Summary: As an Administrative Assistant with the Supplemental Nutrition Assistance Program (SNAP), you would schedule appointments, give information to callers, and is responsible for clerical work and administrative business details for the SNAP Employment and Training.
We are looking for someone who has excellent communication skills, a positive attitude, takes initiative, and a passion to help others.
Essential Duties:
Serves as the primary contact for program inquiries.
Assists potential referrals to gain initial access to appropriate services.
Coordinates meetings and trainings including organizing meeting/training, developing agenda, sending out reminders, and taking/distributing minutes.
Collects statistics and narratives from staff for monthly reports and assists with internal and external reports.
Schedules appointments, gives information to callers, takes dictation, composes and types correspondence, reads and routes incoming mail, and performs other administrative and clerical duties as assigned.
Supports and advises visitors and clients as they come in e.

for orientation sessions or assessments.
Sets-up and coordinates orientation process to ensure it is completed accurately and timely on a daily basis in accordance with established protocol.
Keeps tickler system and statistical report on pre-intake participants to ensure proper conciliation process for Orientation and Assessment if they are a no-show.
Assembles new participants’ files before distributing them to the assigned Employment Counselor.
Assists Program Coordinator in researching and tracking resources for staff and program participants.
Communicates with other agencies and persons to ensure a smooth flow of communication takes place.
Creates and updates participants’ files with the following data: eligibility form, intake packet, individual service strategy, attendance log, data entry form, and satisfaction survey.
Minimum Qualifications:
High School diploma or general education degree (GED) and
One to two years related experience and/or training; or
Equivalent combination of education and experience
Must type 50 words per minute, good public relations attitude, good communication skills, and ability to communicate with State and National Offices
Computer knowledge with Microsoft Word, Excel, PowerPoint, and Access required
Must have a valid Hawaii Driver’s License and access to an insured vehicle
