Youth Shelter Administrative Assistant

Responsibilities include:
* Coordinating staff schedules to ensure adequate staffing levels for all positions and all shifts HR
* Coordinating hiring and onboarding logistics for shelter staff and volunteers
* Creating meeting agendas and minutes
* Coordinating food purchasing, storage and supervising meal preparation
* Arrange transportation for youth and transport as needed
* Maintaining vehicle fleet
* Scheduling and ordering resources required for continued shelter operations
* Scheduling and record keeping of meetings with key stakeholders and staff
* Oversee recordkeeping in Shelter tracking system to ensure that all staff are accurately recording what is needed for compliance and effective operations
* Oversee all forms, applications and systems to ensure that all is in compliance with all necessary policies, procedures, agency and legal requirements
* Track key performance metrics and report to Executive Director
* Maintain inventory and logs of needed supplies and equipment and coordinate & assist staff in ordering and resupply as needed
* Coordinate and execute logistical requirements for on-site and off-site programs and activities (in conjunction with Director: Programs and Training)
* Manage maintenance of shelter facility and equipment
* on call for staff/youth needs
* staff and youth support
* other tasks as needed
We are looking for someone with:
* Strong organizational skills
* Proficiency with applicable software applications (and ability to quickly learn and be proficient in new applications)
* Ability to multitask
* A desire to support youth growth and development.
* Ability to learn and practice nonviolent communication and restorative justice practices in a trauma-informed manner
* Ability to build rapport and communicate effectively with a wide range of individuals
* Two or more years of experience working in a similar office/shelter management and/or administrative role
* Experience in handling difficult personalities with grace and empathy
* Ability to pass state and federal background checks submitted to and approved by the State of Hawaii Department of Human Services
* Ability to acquire and maintain a Food Handlers Certification
* Baccalaureate degree or equivalent work experience
